What Actually Works When You Build an AI Pipeline for a Salon (and What Doesn't)
We're building a customizable automated revenue pipeline called Ultra. Here's what we've learned so far — the wins, the dead ends, and the parts that still need a human.
The real problems manual pipelines have
Before writing a single line of automation, we mapped where time and money actually leak:
- Leads come in via Instagram DM, Google, and the website — and most don't get followed up within the hour.
- The booking flow has gaps. Leads drop off between "I'm interested" and "I have an appointment."
- Reactivating past clients is almost never done systematically. It's remembered or it's forgotten.
- Marketing content gets skipped when the week gets busy.
What we built, and what it actually does

Booking reminders and gap-filling Automated reminders cut no-shows. Leads come in, get qualified and booked automatically. Leads get captured, nurturued, scheduled, and closed in one place. Keeping you updated and in the loop along the way.
Client reactivation A simple sequence that identifies clients who haven't booked in 90 days and sends a personal-feeling message. Not a blast. One message, one offer, one clear next step. Early results are good. We'll share numbers once we have a full month of data.
Marketing content — WIP The system drafts captions and suggests posting times based on past engagement. Saving countless hours. But the best-performing posts still come from real moments in the salon — a great colour result, a client reaction. The draft is a starting point, not a finished product.
The honest framing
The pipeline we're building isn't doing anything magical. It's doing the follow-up that was already supposed to happen — faster and more consistently than any busy salon team can manage manually. The automation handles the repetitive parts. The team handles the judgment calls.
